Strategic RFP Platform Coordinator (Responsive)

We are seeking a skilled Strategic RFP Platform Coordinator to lead the management, optimization, and strategic development of our response management systems (Responsive), ensuring that our Global Proposal Operations team has streamlined access to a centralized knowledge base, and allowing field teams to quickly find vetted, approved answers to client questions. Responsive plays a significant part of our bid process, which is needed to respond effectively to complex RFPs and other client inquiries. This role will be central to enhancing the quality, efficiency, and strategic alignment of all proposal responses as well as our comprehensive content library.
As the Strategic RFP Platform Coordinator, you will oversee our proposal automation tools and knowledge databases, collaborate with cross-functional teams to align content with our business goals, and implement best practices for RFP response management. You will play a key role in continuously improving Responsive and its functionalities, supporting the team in delivering high-quality, client-centered proposals and presentations in a fast-paced, competitive market.
Responsibilities:

System Administration: Overseeing and optimizing our proposal response management systems (eg. Responsive), ensuring it is configured and customized to support the Global Proposal Operations team effectively.

Content Management: Maintaining and curating our Responsive content library, ensuring that proposal templates, documents, sections, collections, tags, and QA pairs are up-to-date, accurate, and aligned with current business objectives and messaging.
- Content Curation: Gathering, shaping, personalizing, and effectively sharing correct company and service delivery knowledge on our Responsive Platform. Reviewing and updating the content according to a content management plan ensuring that all customer-facing information is up-to-date and compliant.
- User Management: Managing user roles, and permissions.
- Process Improvement: Designing and implementing workflows within the response management system to streamline response processes, reducing turnaround time for our proposals and presentations, and increasing overall team productivity. Identifying bottlenecks and introducing automation or templates where appropriate.
- Training & Support: Providing training and ongoing support to both new and existing users of Responsive, ensuring they are equipped to use Responsive effectively. Developing training materials, conducting workshops, and offering one-on-one support as needed.
- Cross-functional Collaboration: Working closely with Proposal Managers, Content Strategists, Sales, and SMEs to understand their needs for content and ensuring that our Responsive content library supports each team’s objectives.
- Metrics & Reporting: Tracking and analyzing system usage metrics, proposal win/loss ratios, and content usage to assess the effectiveness of our content in Responsive. Generating regular reports and providing insights to the leadership team.
- System Updates & Enhancements: Staying updated on new features, system upgrades, and best practices in response management software. Leading efforts to implement system upgrades and new functionality that enhance response efficiency and content quality.
Requirements:
- Education: Bachelor’s degree in Business, Information Systems, Communications, Marketing, or a related field.
- Experience:
- 5+ years of experience in proposal management, content management, or a similar role within a corporate or consulting environment.
- Proven experience managing proposal automation or RFP response systems (eg. Responsive, Qvidian, Loopio).
- Familiarity with proposal and business development processes, preferably within a global or large-scale company.
- Technical Skills:
- Proficiency with RFP and response management systems (e.g., RFPIO, Qvidian, Loopio), content management platforms, and CRM systems (e.g., Salesforce).
- Analytical skills, with experience generating reports, interpreting data, and providing insights.
- Knowledge of workflow automation and system customization capabilities.
- Soft Skills:
- Excellent organizational and project management skills, with an ability to manage multiple projects and prioritize tasks effectively.
- Strong communication and interpersonal skills to collaborate with cross-functional teams and convey technical information to non-technical users.
- Detail-oriented, with an ability to ensure accuracy and consistency across all proposal content.
- Must have excellent English written and verbal communication skills.
Preferred Qualifications:
- Certification in Proposal Management (e.g., APMP, Shipley) or Project Management (PMP) is a plus.
- Experience working in a global organization with exposure to managing complex, multi-regional proposals.
- Familiarity with data visualization tools (e.g., Tableau, Power BI) to analyze and report on system and proposal metrics.
Working conditions
Role is based in Securitas AMEA office in India, Gurugram. It's a hybrid working model with Tuesdays and Wednesdays as mandatory office days.
