Purpose

Junior Project Administrator reporting directly to Project Administrator, Securitas Technology Ireland Ltd. They will also liaise accordingly with Finance, Procurement and Logistics and any other relevant persons to achieve their duties on a day-to-day basis.

Major Responsibilities

· Support the project administration function.

· Create demands for open projects

· Create Purchase Orders for works/costs on open projects

· Liaise with Installation Manager weekly re allocation of new projects to Project Managers and update Financial system accordingly

· Process engineer timesheets onto Financial system.

· Process Per Diem allowances onto projects where applicable

· Process stock usage reports in system

· Work with project managers to clean and close projects

· Communicate directly with other departments regarding projects.

· Complete month end checks and run month end reports

· Provide cover for colleagues during absence for holidays and sickness.

· Any other Ad hoc projects as requested

Experience & Knowledge

· Proficiency in MS Excel

· Self-motivated individual with drive, enthusiasm and commitment

· Keyboarding, computer usage and various systems utilized by the Accounts/Projects Dept

· Handling and being exposed to sensitive and confidential information.

· Reading and analyzing reports and data

Skills and Competencies

· Strong communication and interpersonal skills.

· Ability to work under pressure and follow instructions.

· Good organisational and administration skills.

· Team‑oriented with a professional and positive attitude.
